Responsibilities
Your responsibilities
- File and compliance management: You will handle the setup and follow-up of client files, prepare KYC documentation, and keep legal databases up to date. This gives you hands-on experience with regulatory processes and helps you build strong expertise in document compliance and corporate legal workflows.
- Billing and CRM support: You'll help manage billing cycles, prepare invoices, handle credit notes and track payments while maintaining accurate client records. This ensures efficient coordination between teams and contributes to building strong client relationships.
- Administrative and executive support: From scheduling meetings and business trips to preparing expense reports and formatting legal documents, you'll make sure everything runs smoothly. This means your work directly contributes to your team's productivity and the firm's client service excellence.
- Office coordination and reception backup: You'll assist with logistical needs like meeting room setup, catering coordination, conference calls, and reception coverage. These responsibilities allow you to take ownership of office flow and help create a professional and welcoming atmosphere for clients and guests.
Profile
Your profile
- 2 to 5 years of experience in an administrative or legal assistant role, ideally in a law firm or professional services firm.
- Strong command of English and French, both written and spoken.
- Well-organized, detail-oriented, and able to manage multiple tasks and deadlines simultaneously.
- Proficient in MS Office and ideally familiar with billing or CRM tools.
- You are a positive team player who thrives in a structured but people-centric environment.
